Brivo Administrators: Add a Second Admin, Remove a Former One, Limit a Manager to One Building
If only one person can log in to your Brivo Access account, you have a single point of failure. When that person leaves, goes on leave or forgets how they got in, nobody can add a door, remove a user or pull a report.
In Brivo Access, go to Settings, then Administrators. Click Create Administrator to add one, click an administrator's name to edit or delete one, and use the Assignments section on their profile to limit them to specific sites or groups. You can only do this if your own role includes the right permissions. If nobody on your account can, or the only administrator email is a former manager's, call us. If you're a PAX customer, we can change or add Brivo administrator emails. If you're not, call us and we'll talk through your options.
The fix is simple. This guide covers three jobs: adding a second administrator, removing a former one, and limiting a manager so they only see one building. The steps follow Brivo's own support pages.
First, know two things
An administrator is not the same as a user. In Brivo, an administrator is anyone who can log in to the Brivo Access application. A user is someone with a fob, card or phone credential who opens doors. Brivo says the two are separate. Someone can be both, and changing one profile doesn't change the other. When a person leaves, check both.
Your own role decides what you can do. Brivo ties each action to a permission on your administrator role:
- To see administrators: View Administrators.
- To add one: Create Administrators.
- To change one: Edit Administrator Assignments, Edit Administrator Profiles and Edit Administrator Roles.
- To remove one: Delete Administrator.
If a button is missing, your role may not include that permission. Brivo defines each permission on its Administrator Role Permission Definitions page.
Add a second administrator
- Log in to Brivo Access.
- In the left navigation bar, click Settings, then click Administrators under the Admin heading.
- Click Create Administrator.
- Fill in the new administrator's profile: full name and the email address they'll use.
- In Roles and Permissions, choose one or more Permission Roles. These decide what they can do.
- Choose the Assignments they're allowed to manage, such as specific sites or door groups.
- Click Create Admin.
Brivo then sends the new administrator a verification email with instructions to set up their login. Use an email address a real person controls. A shared mailbox that more than one person can read is better than one person's private inbox.
Give the new administrator a role that fits the job. Not everyone needs everything.
Remove a former administrator
You have two options.
To suspend someone for a while:
- Go to Settings, then Administrators.
- Click the administrator's name to open their profile.
- Remove all of their Administrator Roles. Brivo's tip says this temporarily suspends the administrator. Add the roles back to restore access.
- Click Save Changes to finish.
To remove someone for good (first make sure another administrator you control can still log in):
- Go to Settings, then Administrators and click the administrator's name.
- Click Delete Administrator.
- In the pop-up, click the red Delete button. A success message appears in the bottom right corner.
After that, also check their user profile. Deleting an administrator doesn't change their door access. If that person had a fob, card or phone credential, see our guide to removing a former employee's access and adding or removing a Brivo user.
Limit a manager to one building
Brivo says new administrators have Full Access to everything in your account by default. Assignments narrow that. Permissions decide what an administrator can do. Assignments decide where, or for whom, they can do it.
- Log in to Brivo Access and go to Settings, then Administrators.
- Click the manager's name.
- Scroll to the Assignments section. You'll see tabs for Sites, Groups and Lockdown Scenarios. Each starts on All.
- On the Sites tab, click Selected, then check only the site or sites this manager should run.
- Do the same for Groups, which limits which users they can see, and for Lockdown Scenarios.
- Click Save Changes at the bottom of the page.
A tip: if each of your buildings is set up as its own site in Brivo, pick that site. If you're not sure how your buildings are set up, don't guess. Ask whoever set up the account, or call us.
Test it afterward. Ask the manager to log in and confirm they see only what they should.
If nobody can log in or add administrators
You may run into one of these:
- Nobody on your account has the Create Administrators permission.
- The only administrator email belongs to a former manager or an installer who's gone.
- You're not sure who the administrators are.
Brivo's pages don't describe a self-service way around those. They also say that people without administrator rights should contact their building manager or security administrator, and that Brivo's 24/7 phone line is for administrators and resellers.
Start with our guide to getting back into Brivo Access. If the email on the account is gone, call us. If you're a PAX customer, we can change or add Brivo administrator emails. If you're not, call us and we'll talk through your options. Expect to be asked for proof that the system is yours before anyone changes an account for you.
Good habits
- Keep at least two administrators.
- Use shared mailboxes for company contacts, not one person's inbox.
- Give each person only the role and assignments they need.
- Write down who the administrators are and review the list when anyone changes jobs.
- Don't share one administrator login between people.
If you'd rather not do it alone

Frequently Asked Questions
Will removing an administrator remove their door access?
No. Brivo treats administrator and user profiles as separate. Check both.
Can I temporarily turn off an administrator without deleting them?
Yes. Brivo's tip is to remove all of their administrator roles. Add the roles back to restore access.
Is there a limit on the number of administrators?
Brivo's published answers differ, so we don't quote a number. If you can't add an administrator, call us and we will help.
How do I see who changed a setting?
Brivo's FAQ says a Journal Report shows administrative actions with the time and the administrator's name.
